Timeline of Responsibilities

Planning tool

Each year the staff, committees, and groups who are responsible for the tasks listed here tweak their programs, and consequently, the dates for each task can change. Watch The CommUUnicator and This Week at EUUC for actual dates and further details. This timeline is meant as an approximate calendar of dates for committee chairs. Some of the items are tasks for committee chairs and leaders, and some items identify events that might need to be considered when forming plans.

Recurring events

Minutes of your monthly meetings

After your committee meetings, save your minutes using the file naming convention and send them to the Administrator.

Monthly Board report

On the first of each month committee chairs submit a report to the Board telling them about major decisions, plans, and activities. This report also includes any requests for the Board.

Receptions

Occasionally we have receptions to celebrate new members or other occasions. On those Sundays the Narthex has tables of food and is crowded between services.

Concerts

Several times a year the Music Committee hosts a concert. The concert series draw dozens of people from the outside community. To reach these visitors with news of your activities, you might put a poster on the EUUC Events bulletin board.

July

Church year begins

Our church year runs from July 1 through June 30.

Annual Report

Committee Chairs, interest group leaders, and the Board President submit annual reports telling the congregation and Board about their major accomplishments and projects during the prior church year and introducing their plans for the current year. Over the summer these reports are merged to form the EUUC Annual Report which is published in September.

August

Church Shoppers

In August many people visit churches in seeking a spiritual home for their families.  Meet the visitors—some of them might someday be interested in contributing to your committee’s work.

September

Ingathering

The weekend following Labor Day is our Ingathering service and the beginning of our regular schedule with two services each Sunday.

Seabeck Retreat

Near the end of September many members and friends spend the weekend at Seabeck for our annual church retreat.

Annual Report

The office staff completes and publishes the EUUC Annual Report.

October

Leadership Council meeting

A Leadership Council meeting is held for committee chairs, committee members, and other church leaders. During the meeting participants

  • receive leadership training
  • discuss ideas and determine the direction for coming year
  • use the annual report as an information and planning aid

Budget planning

Committees begin planning their budgets for the next fiscal year.

Art show cleanup

Usually, on the last weekend in October nearly everything in the church, except for what is in the Friarplace and the offices is moved into storage for the Art Show.  If your committee has posters, displays, or anything else in the affected areas, you should pack up your things and label the box with the room number. This helps the Art Show crew bring the box back to where it belongs after the show.

November

Art Show

The first weekend in November is the Northwest Artists’ Holiday Show, which we usually call the Art Show.  There is no church service that Sunday. During the week prior to the Art Show, all the furniture will be gone from all meeting rooms, except the Friarplace. If your meeting is scheduled for that week, meet offsite or reschedule.

Fair Trade Market

For three weeks, usually beginning at the end of November, the Fair Trade Market fills much of the Narthex in even numbered years.

Budget requests

Groups and committees are asked to prepare budget requests for the following July-June fiscal year.

December

Between Christmas and New Year’s Day

Usually, there is just one service on this Sunday, and it has low attendance.

Submit Budget Request

Committees and groups submit budget requests for the next July-June fiscal year.

January

Budget

The Board approves a preliminary budget for the next July-June year, and budget conversations are held with the congregation.

February

Pledge Sunday (usually held on Chocolate Sunday)

On Pledge Sunday our Canvass Committee asks members to pledge for the next church-year. You might not be able to hold a special fundraiser close to Pledge Sunday, including the four weeks following that day.

Chocolate Sunday

The Sunday nearest Valentine's Day is Chocolate Sunday held in the Narthex after both services. This is not a good week to have a special table with information about committee programs.

March

Total Experience Gospel Choir

This annual concert brings in dozens of people from the outside community. You might consider whether you want to change your table display or posters in the Narthex.

April

Auction

One of our largest sources of funding is from the Auction usually held around the middle of the month.

Endowments

The Endowment Committee asks committee chairs and members to apply for grants. Read the Endowments policy to learn about the various funds.

Reserve meeting space for the next year

The Administrator will ask you to request meeting space for your committee or interest group meetings from September through August.

Library book sale

During the last three weeks of April, the Library fills the Narthex with tables of used books for people to purchase.  You probably will not be able to have a table for a special display.

Rummage Sale

The first Friday and Saturday in May is the rummage sale. If you have items in the areas used by the sale, you need to pack them up on the Sunday before. Committee items have been sold by accident.

Annual Congregational Meeting

Near the end of the month is the Annual Congregational Meeting at which the congregation usually votes to approve the budget for the next year and to elect new Board members, Nominating Committee members, and Canvass Committee members.

May

Board potluck for new members

The Board hosts a potluck for new EUUC members.

Summer Schedule

Our summer schedule with only one Sunday service usually runs from mid-May through Labor Day.

Memorial Day

Many families and members miss church on Sunday, because they are on holiday.

June

The church year ends on June 30.
