How to Publicize your News

Getting the word out

Committee chairs, staff, and other church leaders publicize their church news and events through a variety of communication media.

All announcements will be edited for length and other issues including, conciseness, clarity, completeness, appropriateness, and accuracy.

Remember to reserve a room. If your meeting or event is subsequently canceled, cancel the room reservation so another group can use the space.

Calendar

Submit a Calendar Request form to place an event on the calendar. Twenty-four hours a day, seven days a week, the online calendar conveys dates, times, and details about regular committee meetings, social gatherings, and other events. If you include a description of the event, people can click on the item and a pop-up window reveals all the information.

The advantages of putting your event on the calendar include

  • People can look up the date, time, and details from home, work, or anywhere they have Internet access.
  • The calendar cannot be lost on a desk or in an email inbox.
  • You can reserve a room.

Newsletter

The Newsletter serves as a vital link between members and church leaders who want to publicize a special event. The Newsletter not only informs people of a social gathering, fundraiser, or other event, but it also sparks interest in attending. This is the place to generate the excitement.

A committee chair or group leader writes up to 250 words about their event and then submits the article to the Newsletter Editor via email or places the text in the Newsletter mailbox. The deadline is 1 p.m. on the 15th of each month.

Weekly announcements

Each week announcements are made through four media:

  • an email: This Week at EUUC
  • printed in the Order of Service: Sunday Update
  • website: Current News and Events page
  • verbal report by a Board member: Pulpit Announcement

You submit announcements for This Week at EUUC, the Sunday Update, and the Current News and Events page from the Submit an Announcement form.

This Week at EUUC — the emailed weekly bulletin

Every Thursday This Week at EUUC is posted to the website and emailed to members and friends. This communication tool has several advantages.

  • 90% of members and friends receive This Week at EUUC.
  • When details change after they are reported in The Newsletter, you can bring people up-to-date.
  • Your announcement reaches people one to ten days before the event.
  • The current issue is always available on the website by clicking on the News and Events tab.

As you write a message for This Week at EUUC, let your passion for the event guide your writing. Don't merely tell people where and when the event will occur—tell people why they should attend. You do not need to write a lengthy article: 30 to 50 words usually suffices.

Submit your announcement by Tuesday at 10 a.m.

Sunday Update — the printed weekly bulletin

The Sunday Update is a printed version of This Week at EUUC. This publication is inserted in the Order of Service on Sundays. The item usually appears for three consecutive weeks. When space is tight, items that have already run for two weeks might be omitted. This is an excellent medium for

  • conveying information that you want people to act on while they are at church
  • notifying the congregation that event details have changed
  • giving people a printed notice that they can take home and enter on their calendars

Submit an announcement by Tuesday at 10 a.m. Announcements may not be submitted by phone. Because the space is limited, these announcements are edited for length to ensure all the messages fit.

Current News and Events

All the announcements submitted through the Submit an Announcement form are added to the Current News and Events page. This website page is a calendar of upcoming events. Items appear in reverse chronological order, and event notices remain until the event has occurred. This news outlet is excellent for

  • linking to a poster or webpage with additional information
  • announcements made well in advance of the event

Pulpit Announcements

If your event or announcement is aimed at a broad section of members and friends, you can request that your announcement be made during a Sunday Service. Because services follow a tight schedule, Board of Trustees edit and occasionally omit announcements. Priority is given to announcements pertaining to the heart of church operations, such as fundraising and congregational meetings.

A member of the Board of Trustees makes a few announcements during the Sunday service. You can ask the Board member to draw people's attention to your announcement in the Sunday Update or to give a new brief announcement. Submit your announcement by noon on Wednesday.

Website

You might want to highlight your event with an announcement on the website where both church members and people beyond our EUUC community can find the announcement. Your event can be advertised on the website in a few ways:

  • The Sunday Update items are automatically included on the Current News and Events page where they remain until the events occur.
  • Site visitors can see a flier advertising your event when they click a link in the event announcement.
  • A photo and a couple of sentences about your news can appear on the home page, if the subject pertains to a broad spectrum of members.

Send an email to the Webweaver with your announcement. Please send photos and posters with an email that is not sent from this website. The content, including text and images, must be free of copyrights. This means that you cannot copy text that someone else wrote or copy photos taken by someone else unless you have the copyright owner's permission.

Bulletin Boards

The time-honored paper poster can still be an effective way to remind or inform members of an event. Put your poster in the Bulletin Board mailbox, and the Church Administrator will post it. If you have additional questions, email the Church Administrator.

Bulletin boards offer a couple advantages.

  • People see your information without having to go to the website or read their emails.
  • If you want people to take action—like purchase tickets —while they are at church, a poster reminds them at a convenient time and place.

Skit or song

You will have everyone's attention if you convey your message with a short skit or song. At least two weeks before your performance you must ask the Minister for time in the service.

External advertising

The Webweaver and the Publicity Coordinator can advertise your event to people outside the church. Email the Publicity Coordinator to have your ad placed in a community newspaper, electronic bulletin board, or other external media.
